Annual Recertification Process

 

What is an RX or Annual Recertification?

Annual recertification is a process of verifying and updating information required by law for tenants receiving financial assistance from HUD. During this process, tenants must confirm that their information, including income and family composition, is accurate. This involves submitting various documents annually to prove their income, assets, and family composition.

Extensions

An extension can be granted by your annual recertification case worker and in some cases by calling our main line. It is beneficial to submit any available documentation while you obtain the missing documents.

Documentation Reminders

  1. If you have a Social Security Overpayment:  You must provide the current ORIGINAL award letter dated within the last 60 days, showing the full overpayment balance owed.
  2. Child Support: Provide the current ORIGINAL 12-month printout.
  3. Bank Accounts: Provide two months of ORIGINAL statements (all pages) for all accounts, including but not limited to Banks, Credit Unions, Direct Express, Netspend, Cash App, etc.
  4. Assets:  You will need to provide proof of any assets owned/shared interest such as:  Income from real estate ownership such as homes, land, etc.  Revocable trusts - Include the cash value of any revocable trust available to the family.  Equity in rental property or other capital investments.  Stocks, bonds, Treasury bills, certificates of deposit, mutual funds, and money market accounts, etc.
  5. Award Letters: Provide current ORIGINAL award letters, including but not limited to Notice of Actions for Food Stamps and Cash Aid, Veteran Benefits, and Pensions, dated within the last 60 days.
  6. Income: Provide two months of current ORIGINAL income documentation, including but not limited to pay stubs, unemployment, workers' compensation, state disability, adoption assistance, and foster care.
  7. Life Insurance: Provide the current cash value of life insurance policies, even if it’s zero, dated within the last 60 days.
  8. School Registrations: Provide current school registrations for all family members attending school. For students receiving financial assistance, provide a detailed award letter showing a breakdown of amounts, including but not limited to financial aid, tuition, required fees, room and board, books, meal plans, transportation and parking, student health insurance plans, and other non-fixed sum charges, dated within the last 60 days.
  9. Utility Bills: Provide a clear photocopy of the current month’s tenant-paid utility bills.
  10. Childcare Payments: Provide copies of receipts and/or canceled checks.
  11. Out-of-Pocket Prescriptions: Provide only a 12-month printout from the pharmacy.

Processing and Follow-Up

  • Once your Annual Recertification packet is received, it can take approximately 30 to 60 days to be reviewed. If any information is missing, the Housing Authority will mail out a Notice of Information Required with a due date in 10 calendar days.
  • When your file is complete and entered into the system, a rent change letter will be mailed to both the tenant and the owner.
